Position Summary

This position is member of the Finance Department and performs advanced clerical accounting work involving the processing and maintenance of accounts payable and receivable; payroll and Transient Occupancy Tax (TOT) records and permits; and performs a variety of technical tasks relative to assigned area of responsibility. Performs moderately difficult and varied clerical and bookkeeping tasks including the processing and maintenance of financial or statistical reports in the assigned department.

Examples of Essential and General Responsibilities

Essential and other important responsibilities and duties may include, but are not limited to, the following:
  • Perform clerical accounting work involving the processing and maintenance of accounts payable and receivable records.
  • Participate in the preparation and maintenance of various accounting and statistical reports and schedules.
  • Verify, balance, and adjust accounts; assist in balancing, checking and correcting irregularities.
  • Participate in the preparation of payroll, accounts payable and/or accounts receivable; TOT records and permits; as well as control and account verification of an accounting system.
  • Post and maintain records of expenditures and accounts according to established account classifications; prepare fiscal data for use in budget preparation and financial reporting.
  • Initiate, process, and follow-up on purchase orders and requisitions.
  • Prepare or check warrants, invoices, requisitions, purchase orders and other similar documents; expedite orders as necessary.
  • Prepare assigned payroll on spreadsheets; tabulate hours; answer questions from employees regarding payroll issues.
  • Collect monies from bills; verify correct amounts; post payments into computer system; create deposit slips and make deposits.
  • Create and maintain complex filing systems to include records, reports and various other documents; open and distribute mail.
  • Respond to public and employee inquiries in a courteous manner; provide information within the area of assignment; resolve complaints in an efficient and timely manner.
  • Operate a variety of office equipment including computers and copy machines.
  • Perform related duties and responsibilities as required.

Minimum and Preferred Requirements

Minimum requirements must be clearly demonstrated on the application to be considered, however, meeting the minimum requirements does not guarantee an invitation to compete further in the selection process. Experience requirements must be demonstrated in the "Work Experience" section of the application, other sections of the application will not be used to determine experience qualifications. (One year of work experience is the equivalent of 12 months of full-time work. "Full-time work" means at least 36 hours of work over a period of one week or 1,872 hours of work over a period of at least 12 months.) Qualifications noted as "desirable" or "preferred" are not included as part of the minimum requirements.
Experience:
  • Two (2) years of increasingly responsible accounting clerical experience, which included duties comparable to those of an Account Clerk I in the City of Palm Springs and extended working knowledge in Accounts Payable and Accounts Receivable is required.
  • Public sector agency accounting clerical experience is preferred.
  • Experience working with automated accounting software such as GovOS or Tyler is preferred.
  • Proficiency in Microsoft Office Excel and Word is preferred.
  • Data entry experience is preferred.
Training:
High School diploma or equivalent education is required.
